The customer problems that don't fit a standard CRM

  • One customer, four systems

The CRM, the billing system, the till and the support desk each holding a different version of the same person.

  • Account hierarchies

Parent companies, subsidiaries, sites and contacts — or households — that a flat contact record cannot express.

  • Field ownership

Deciding which system is authoritative for each field, and what happens when two of them disagree.

  • Real-time balances

Loyalty points and wallets that must be correct within seconds across every channel.

  • Consent as data

Purpose, channel, version and timestamp — not a single marketing flag on a customer row.

  • Legacy migration

Twenty years of contacts, duplicates and dead records, with history that has to survive the move.

  • Till and online parity

Rules that behave the same at the cash register and in the shop, including returns and partial refunds.

  • Call-centre workflows

Back offices where agents need the whole customer in one screen and no second login.

  • Custom customer logic

Entitlements, contracts and eligibility rules that no off-the-shelf CRM will ever ship out of the box.

A customer record is only as good as what feeds it

Most of the work in a customer platform sits in the systems around it. An address change has to reach billing, a loyalty point earned at the till has to be visible in the app seconds later, and a withdrawn consent has to stop a campaign that is already scheduled.

Customer platforms we have delivered

Swipe to see all four projects.

  • Coop: Lottery and bonus system with a virtual wallet

A loyalty and lottery system built around a virtual wallet, integrated with the CRM, the cash registers, the receipt system and the online shop, and engineered to react in milliseconds under retail-scale load.

    Retail · Loyalty & rewards

  • Alexela: A customer app for an energy retailer

A mobile application giving customers their contracts, consumption and invoices directly, so the questions that generate most support calls can be answered without one.

    Energy & utilities · Customer self-service

  • Tallink Takso: Back-office systems behind the taxi operation

Dispatch, journeys, drivers and billing brought into agreement, because when those records diverge the difference lands on the support desk as a dispute.

Transport & mobility · Operational back office

  • KredEx: Web-based tools for handling applications

Application handling moved out of the inbox, with applicants and officials seeing the same status — which removes a large share of the correspondence about it.

    Public sector · Citizen self-service

Industries we understand

Customer platforms carry the rules of the business they serve. These are the sectors whose rules we have already had to model.

  • Retail & grocery

Loyalty schemes, tills, receipt data and campaign mechanics at national scale.

  • Energy & utilities

Contracts, consumption, self-service and the switch between suppliers.

  • Telecommunications

Subscriptions, entitlements, device contracts and high-volume support.

  • Transport & mobility

Bookings, journeys, dispatch and the disputes that follow them.

  • Financial services

KYC, consent, audit trails and regulated communication.

  • Public sector

Applications, case status and citizens who must be able to see both.

  • Manufacturing & B2B

Dealer networks, account hierarchies and negotiated terms.

  • Healthcare

Patient identity, proxy access and consent with an evidential trail.

From first analysis to long-term operation

  1. Business analysis

Map where customer data actually lives today, who maintains it, and which field each system believes it owns. This is usually the first time anyone has written it down.

You getA written picture of today and tomorrow, with the problems ranked by business impact.

  2. Model & roadmap

Agree the customer model, the matching rules and the ownership rules with the people who maintain the data — then a phased plan with a first release that removes a real irritation.

You getA phase-one scope and estimate, agreed before any build starts.

  3. Build & integrate

Iterative delivery, integration built alongside features, and reconciliation reporting from the first sync rather than after the first complaint.

You getWorking software running on your own data from the first weeks, shown in regular demos. No mock-ups.

  4. Operate & evolve

Data quality monitoring, consent reporting and a continuous roadmap. Customer platforms are never finished; they are maintained.

You getMonitoring, data-quality reporting and a roadmap we keep together as the customer model changes.

How we deliver — not what we sell

We are platform-agnostic by conviction rather than by slogan. Whether the answer is extending the CRM you already own or building a customer layer beside it depends on how much of your customer model is genuinely unique — and we will say plainly when it is not.

Where an off-the-shelf CRM fits we work within it and integrate around it. Where the entitlements, contracts or loyalty mechanics are the business, we build a customer core and let the CRM stay a CRM.

The portals and apps in front of that layer are typically built in Next.js or React, with native mobile where usage patterns justify its ongoing cost.

Behind it we work across Node.js, .NET and Java, exposing GraphQL and REST APIs and moving changes as events rather than nightly batches, so a balance or a consent is never stale by a day.

Key questions answered

Do we have to replace our CRM?

Usually not. In most cases the CRM stays and becomes one participant in a customer data layer alongside billing and the till. Replacement is worth discussing only when the platform cannot be extended or integrated at acceptable cost.

How do you decide which system owns a field?

In a working session with the people who actually maintain the data — finance, support, marketing, retail — before any synchronisation code is written. It is faster than discovering the disagreements in production.

Can loyalty work across the till and the online shop?

Yes, and it has to. We hold the balance as a single ledger that every channel reads from, and we design what the till should do when the platform is unreachable before the happy path is finished.

How do you handle GDPR and consent?

Consent is modelled per purpose and channel, with version and timestamp, from the start. That makes access, deletion and objection requests a query rather than a search across systems.

Can you take over an existing customer platform?

Yes. We start with an audit of the data model, the integrations and the actual data quality, then stabilise, then plan. We will tell you honestly if the right answer is to rebuild rather than rescue.

Let's talk about your customer platform

Tell us where your customer data sits today and which question you cannot currently answer about it. We will come back with an honest read on the model, the integration work involved, and what a realistic first phase looks like.
